The Accounts Receivable and Accounting Administrator will be responsible for accounting-related tasks as well as some administrative duties.
The effective Accounts Receivable and Accounting Administrator will possess the following attributes:

What you will be doing:
- Perform day-to-day financial transactions, including verifying, classifying and recording accounts receivable data.
- Prepare bills, invoices and bank deposits.
- Reconcile the accounts receivable/payable ledger to ensure that all payments are accounted for and properly posted.
- Verify and investigate discrepancies, if any, by resolving clients’ billing issues and reconciling customer accounts.
- Facilitate payment of invoices due by sending bill reminders and contacting clients.
- Complete credit applications, including gathering credit information, conducting trade reference checks and communicating with the customers.
- Utilizing customer invoice and payment portals.
- Investigate and resolve billing discrepancies and cash transactions.
- Review all credit balances, refunds, and adjustments, and apply adjustments and/or corrections to accounts as needed.
- Data entry related clerical duties such as word processing, maintain filing and record systems, scanning and photocopying.
- Assist with shop administration duties, such as timesheet completion and inventory sheet entry.
- Build successful working relationship and provide administrative support to co-workers and management.
- Work accurately and quickly under pressure and time constraints as well as solving problems independently or part of a team.
- Accurately and appropriately file correspondence, invoices, and receipts.
- Support other administrative staff by answering phones, be a primary contact for customers by way of emails and other correspondence.
- Perform full cycle payroll functions – including time entry, expense reimbursement, and benefits administration.
- Other duties as required.
What we need from you:
- 2+ years of accounts receivable experience
- Relevant general accounting experience
- Good organizational skills
- Proficient in MS Office with advanced Excel skills
- Knowledge of an accounting information system is a plus
- High degree of accuracy and attention to detail
